We are looking for an experienced Executive Assistant to join our team based in Melbourne. Teamwork is paramount, working in partnership with your business network and executive partners will see you flourish in this role. Through the big picture approach, you are skilful at scheduling ahead and being active in setting strategic activities in motion and having ideas on hand before they are needed.
In this role, you will make an impact in the following ways:
Key point of contact for executive communication, receiving calls and correspondence, leading and managing appropriately
Confidently liaise with internal and external stakeholders, operating on behalf of the executive partners in all written and verbal communication
Managing a partnership approach to stakeholder collaboration, develop existing and new contacts to nurture and build key business connections
Provide high-level administrative responsibilities to contribute to the resourceful and effective operation to the executive team
Attendance at senior leadership meetings, ensuring agendas are prepared, pre-reading material is developed and circulated, minute taking as required
Working through matters that come through with the executive team with appropriate levels of confidentiality and discretion.
To be successful in this role you will need the following:
Demonstrated experience in an Executive Assistant role
Confident with Microsoft Office suite and working across different databases
Positive, upbeat attitude and ability pick up task quickly
Strong problem-solving skills with an ability to deal with conflict situations in a rational and constructive manner
Proven negotiating and advocacy skills
Able to identify, analyse, formulate, and implement appropriate courses of action, advising managers appropriately
Strong interpersonal and organisational skills, ability to work in a fast-paced environment and with a diverse stakeholder group
An ability to network and engage people to achieve the objectives at hand
